2. Two roles: this website, and the product

This website (https://residentaxis.com) is a static marketing site. We are the controller of the limited data it collects.

The product (the ResidentAxis application) is used by property-management operators (“Operators”) to manage properties, leases, residents, owners and vendors. For personal data inside the product, the Operator is the controller and we are a processor acting on their instructions under our agreement with them. Residents, owners and vendors should direct requests about their data to their Operator; we assist Operators in responding.

3. What this website collects

• Forms. When you request a pilot or contact us: name, company, email, phone (optional), portfolio size, property type, market, current software, affordable-housing interest, timeline, your message, the page you submitted from, and the time. We use it to respond and to assess fit. Legal basis: your request / legitimate interest.
• Server logs. Our hosting provider records IP address, user agent, requested URL and time for security and operations, retained for [LOG RETENTION, e.g. 30 days].
• Analytics. No analytics or advertising trackers are currently loaded on this website.
• Cookies. This website sets no cookies of its own. [Update if analytics or embedded content that sets cookies is added.]

4. What the product processes (on behalf of Operators)

Depending on how an Operator configures the product: contact details of residents, applicants, owners and vendors; lease terms and documents; charges, payments and receipts (payment card and bank details are held by the payment provider, not by us — we store token references and the last four digits); maintenance requests and photos; inspection records; messages; screening order references (never Social Security numbers); device identifiers and push tokens for the mobile app; and an audit log of actions. Operators control what their portals expose.

5. Sub-processors and integrations

We use hosting and infrastructure providers, and — only when an Operator configures them — payment (Stripe), email, SMS, push (Apple / Google), storage, screening and AI providers. Optional AI features send only a sanitised portfolio summary without resident personal data, and every suggestion requires human approval.

6. Retention

Website form submissions: [e.g. 24 months] or until you ask us to delete them. Product data: for the term of the Operator’s agreement plus [e.g. 90 days], after which it is deleted or returned, except audit and financial records the Operator or law requires us to retain.

7. Security

Encrypted transport, database-enforced tenant isolation, role-based access, append-only audit logs, MFA, and the further controls described on our security page.

8. Your rights

Depending on where you live you may have rights to access, correct, delete or port your data, or to object to or restrict processing. For this website, email privacy@residentaxis.com. 9. Children

This website and the product are intended for adults entering into or managing rental agreements. We do not knowingly collect data from children under 13.
