Move-in, inspections, move-out and deposits

Two inspections, one diff, one disposition. Move-in cannot release keys until the checklist is done; move-out drafts the deposit disposition from what actually changed.

The problem

Deposit disputes are lost on documentation, not on facts.

The move-in photos are on a phone that left the company, the move-out was a walk-through with a notepad, and the disposition letter went out late with a round number.

  • Keys are handed over before utilities are set up or the deposit clears.
  • Inspection evidence is not comparable between move-in and move-out.
  • Dispositions are calculated by hand and sent outside the statutory window.
  • Deposit liability is a number the accountant hopes is right.

The workflow

Move-in → live → move-out → disposition

  1. Move-in checklist

    Utilities, deposit, signatures, inspection — with a blocking key-release gate that returns what is still missing.

  2. Move-in inspection

    Guided template by unit type; item conditions, notes and photos; resident sign-off by magic link.

  3. Deposit held

    Collected into a held state on the ledger; optional interest runs where required; deposit-liability report at any time.

  4. Move-out

    Forwarding address captured in the portal, proration computed, move-out inspection with per-item cost.

  5. Diff and disposition

    The move-in vs move-out diff drafts the disposition: deductions itemised, refund computed, letter generated as a PDF with the state machine tracking sent → refunded → closed.

Configuration and pilot notes

Before you rely on it

Things that are set up per operator during a pilot, or that depend on a provider you contract.

  • Inspection templates by unit type and the move-in / move-out checklists are configured per operator.
  • Statutory windows, interest requirements and disposition letter wording differ by state; configure them and have counsel review the template.
  • Photo storage uses local disk or S3-compatible storage you configure; files are MIME-checked, size-capped and checksummed.

Questions about this area

Can residents do a self-guided move-in inspection?

Residents acknowledge the manager’s inspection by magic link; a fully resident-conducted inspection flow is not a separate feature today.

Does the platform tell us the deposit deadline for our state?

Deadlines are configured as compliance rules per jurisdiction and surfaced as reminders; the platform does not guarantee statutory compliance.
